What is n8n?
n8n is a workflow automation platform that connects apps, APIs and databases without forcing you to code every integration from scratch. You build the workflow in a visual editor: a trigger fires, and a sequence of steps does the work someone on your team does by hand today.
n8n follows a model called fair-code: the source code is open to inspect (source available), distributed under the Sustainable Use License, and the tool can be installed on your own server (self-hosted). If you would rather not manage infrastructure, you can use the cloud version run by n8n itself.
In practice, it ships with hundreds of ready-made native integrations, plus generic nodes for HTTP requests and webhooks. That means if a tool has an API, you can almost always plug it into your workflow.
Why does n8n make sense for ecommerce?
Because ecommerce runs on events: order created, payment pending, order shipped, cart abandoned. Every event calls for a fast response, and n8n turns those events into triggers that act on their own, 24 hours a day.
Three factors make it a strong fit for Brazilian stores:
- Flexibility: you are not locked into the rules of a closed app. The workflow does exactly what your operation needs, including conditional logic by order value, region or product.
- Data control: with the self-hosted version, customer data flows through your own server, which makes it easier to meet the governance required by the LGPD, Brazil's data protection law, similar to GDPR.
- One tool, many systems: your store, WhatsApp, email, CRM, ERP and spreadsheets talk to each other in one place, instead of five paid apps that never sync.
The result is less manual work, fewer human errors and more sales that would otherwise slip away for lack of a well-timed reminder. Below are the five automations that make the biggest difference to your bottom line.
Automation 1: recovering pending Pix and boleto payments
Pix (Brazil's instant payment system) and boleto (a Brazilian bank payment slip) charges that are generated but never paid are nearly closed sales: the customer chose the product, filled in their details and simply did not complete the payment. A well-timed reminder wins back part of those sales with zero media spend.
Trigger
An order is created with a pending payment status and Pix or boleto as the payment method. The store sends a webhook to n8n, or n8n periodically checks for pending orders.
What it does
It waits for a set interval (for example, a few hours for Pix, which usually expires quickly, and one or two days for boleto), checks again whether the payment is still pending and, if so, sends a message with the Pix code or the boleto's payment code. If the payment goes through, the workflow stops on its own.
Connected tools
Store platform (Shopify, Nuvemshop), payment gateway, WhatsApp Business Platform and email tool.
Why it drives revenue
You recover sales you already paid traffic to generate. Every recovered order improves your media return without increasing your spend, and it shows up directly in your ROAS.
Automation 2: multichannel abandoned cart
Abandoned cart recovery is the classic sales recovery play, and the edge n8n brings is orchestrating more than one channel in sequence, instead of firing off a single generic email.
Trigger
A checkout started with an email or phone number filled in and no completed order after a set period.
What it does
It builds a sequence: first an email with the cart items, then a WhatsApp message for customers who opted in to that channel and, finally, one last reminder. Before each send, the workflow checks whether the purchase has already happened, so it never bothers someone who already bought. You can also personalize by cart value: high-ticket carts can be routed to a human agent.
Connected tools
Store, email marketing platform, WhatsApp Business Platform and CRM, which logs every attempt in the customer's history.
Why it drives revenue
Different channels reach different people. Someone who ignores the email may reply on WhatsApp, and the CRM log shows which step recovers the most, so you can fine-tune the sequence based on data.
Automation 3: order confirmation and tracking on WhatsApp
This automation does not sell directly, but it saves hours of support time and builds trust in your store. "Where is my order?" tends to be one of the most repeated questions in any ecommerce support queue.
Trigger
Payment approved, order shipped (with a tracking code generated) and status updates from the carrier.
What it does
It sends the order confirmation, then the tracking code with a tracking link and, if the carrier is integrated, "out for delivery" and "delivered" notifications. Detected delays can trigger an internal alert so your team can act before the complaint arrives.
Connected tools
Store, WhatsApp Business Platform, shipping platform or carrier API, and support tool.
Why it saves time
Fewer repetitive tickets, informed customers and a buying experience that feels secure. Customers who feel at ease buy again and complain less on review sites.
Automation 4: orders and invoices sent to the ERP automatically
Keying orders into the ERP and issuing the nota fiscal (NF-e, Brazil's mandatory electronic invoice) by hand is slow and error-prone. With n8n, an approved order flows into your management system without anyone copying and pasting data.
Trigger
An order with an approved payment in the store.
What it does
It creates the order in the ERP with customer, items, shipping and payment method, requests the nota fiscal through the ERP itself or an integrated invoicing tool, and sends the invoice number and status back to the store. If something fails, such as a product that is not registered in the ERP, the workflow alerts your team in an internal channel instead of silently stalling.
Connected tools
Store, ERP (Bling, Tiny and others with an API), invoicing tool, email and an internal alerts channel.
Why it saves time
Orders reach inventory and fulfillment faster, typos disappear and your team stops spending hours every week on repetitive work. Shipping sooner also reduces friction after the sale.
Automation 5: post-purchase review requests and well-timed repurchase
Selling again to existing customers tends to cost less than winning new ones. Post-purchase automation does this with timing, not random blasts.
Trigger
An order marked as delivered and, later on, an interval calculated from the product's usage cycle.
What it does
A few days after delivery, it asks for a product review. Further down the line, when the product is likely running out or the customer is ready for an add-on (a cosmetics refill, pet food, supplements, an accessory for something they bought), it sends a personalized repurchase suggestion. Customers who left a poor review are routed to support, not to an offer.
Connected tools
Store, reviews app, CRM, email marketing and WhatsApp Business Platform.
Why it drives revenue
Reviews strengthen social proof on your product pages, and repurchase at the right moment raises customer lifetime value without relying solely on paid media.
Summary of the 5 automations
The table below sums up where each automation starts, which channel it uses to reach the customer and what impact it brings to your operation.
How to start automating your store with n8n
Start with the automation that recovers the most money with the least complexity, and build from there. This step-by-step plan helps you avoid the most common mistakes:
- Map your manual processes: list what your team does over and over and how much time it takes each week.
- Prioritize by impact: Pix, boleto and cart recovery usually come first, because they move revenue directly.
- Choose where n8n will run: the official cloud to get started fast, or self-hosted for more control over data and costs.
- Get consent in order: make sure your checkout collects permission for WhatsApp and email messages before you switch on any sends.
- Set up and get your message templates approved: on the WhatsApp Business Platform, business-initiated messages use approved templates.
- Test with real orders at small scale: validate intervals, copy and stop conditions before rolling out to your entire customer base.
- Monitor and refine: track recoveries, replies and unsubscribe requests, and fine-tune the sequence every month.
Tip: every messaging automation needs a stop condition. Before each send, check whether the customer has already paid, already bought or asked to opt out. A message sent to someone who already bought is irritating and drives unsubscribes.
What precautions should you take with LGPD, consent and WhatsApp?
Messaging automation only works in the long run if it respects the law and each channel's rules. Three precautions are mandatory.
LGPD and legal basis. Brazil's General Data Protection Law (Law 13.709/2018) requires a legal basis for processing personal data. Transactional messages tied to an order have a different justification from promotional messages, which require clear consent. Record when and how each customer authorized contact, and process only the data you need.
Easy opt-out. Every promotional email and message must offer a simple way to opt out, and that request must be honored. In n8n, an unsubscribe can update the CRM instantly and block future sends across every workflow.
Official WhatsApp API rules. The WhatsApp Business policy requires businesses to contact only people who provided their number and gave permission to receive messages, and to honor block or opt-out requests made inside or outside WhatsApp. Outside the 24-hour customer service window, which resets with every customer message, only approved message templates can be sent. These templates are classified into categories such as marketing, utility and authentication, and a cart reminder is a different kind of message from a tracking update. Always use the official API: unofficial solutions put your store's number at risk of being banned.
How SCALE implements n8n automations
SCALE is an n8n partner and implements automations that connect your store, WhatsApp, CRM and ERP in workflows designed around each client's operation. The starting point is always the diagnosis, not the tool.
Our method follows a clear sequence: we map processes and revenue bottlenecks, prioritize the highest-impact automations, set up consent collection and message templates, build workflows with stop conditions and error alerts, and track results to keep refining. Because SCALE also builds stores (we are a Shopify partner and work with Nuvemshop) and manages paid traffic, the automations are integrated with the rest of your operation from day one.
If you want to find out which automations make sense for your store, talk to SCALE and we will map out together where to start.
Frequently asked questions
Is n8n free?
n8n follows the fair-code model and can be installed on your own server under the Sustainable Use License, which allows internal use without paying for a license. The cloud version and enterprise plans are paid. Since pricing and terms change, check the official n8n website.
What is the difference between self-hosted n8n and n8n Cloud?
With self-hosted, you install n8n on your own server and control data, updates and infrastructure. With n8n Cloud, the company hosts and maintains the tool for you. Self-hosted gives you more control, while the cloud makes it easier to get started.
Does n8n work with Shopify and Nuvemshop?
Yes. n8n has a native Shopify integration and can connect to other platforms, such as Nuvemshop, through webhooks and API calls. That way, events like order created or payment approved become triggers for your workflows.
Can I send automated WhatsApp messages to any customer?
No. The WhatsApp Business policy requires that the customer has provided their number and given permission to receive messages from the business. Outside the 24-hour customer service window, only approved message templates can be sent, and opt-out requests must be honored.
Which automation should I implement first in my store?
For most ecommerce businesses, Pix, boleto and abandoned cart recovery come first, because they act on sales that were already nearly closed. After that, it pays to automate tracking and ERP integration to save your team time.
